How does Workspace collect my personal information?
Workspace collects information to operate effectively and provide better services and the best experience to all our users – for example:
- when you enquire about our properties with a view to becoming a customer;
- when you create an account for Self-Storage by Workspace, enquire about or purchase a license to store goods in a self-storage unit, use or access a self-storage unit, or manage your account details through our online self-storage platform;
- when you create a MyWorkspace account to manage building access and Wifi, view our events and other customer information or book meeting rooms at one of our centres;
- when you use the facilities at our properties;
- when you download our mobile applications; or
- when you apply for a job with us.
Most of our Services require you to create a user account profile or provide certain personal information such as your name and email address. We collect information in three main ways: information you give us (which you can do in several ways); information we obtain from your use of our Services; and information we obtain from a third party.

a. By filling in forms, for example when you complete and submit an enquiry or booking form on our website or via our AI enquiry platforms provided through our service providers.
b. By submitting an application to a job advertised on our website or through a recruitment agent.
c. By sending us emails and text messages (SMS, MMS, Messenger WhatsApp or Instagram).
d. By adding posts, reviews and other comments to our website.
e. By interacting with us on social media platforms such as Facebook, Twitter, Instagram, LinkedIn, WhatsApp and through our use of push notifications.
f. By talking to us face to face at our Centres (i.e. building locations) or over the telephone. For example, when enquiring about a rental or making a complaint.
g. By registering accounts on our website or mobile applications including setting up passwords and user names, providing contact details, account details, your preferences and interests and any other information you may choose to input into our mobile application or allow our mobile application to access (for example if you choose to upload a profile photo or allow access to your contact list for visitor management purposes).
Important: You may opt out at any time by following the instructions in the communications received, or by contacting us directly.
Important: If you submit details to us or any other person (e.g. an employee of your company) it is your responsibility to ensure that you have lawful basis for passing the information on to us.
Important: If you enquire through our AI enquiry platforms, we may provide WhatsApp with your phone number to check that you are a user of this service. WhatsApp communications are subject to WhatsApp's own privacy policy, which we recommend you review. We are not responsible for the privacy statements or content of WhatsApp or any third-party platforms.
Important: Our online self-storage platform is hosted and managed by our third-party provider, Stora. Personal information provided by you via that platform will be processed by Stora, acting on our behalf. We use other third-party providers to support our provision of Self-Storage by Workspace. If you purchase a license to use one of our self-storage units, personal information you provide may be collected or processed by our third-party providers to support billing and payment processes, conduct identity verification checks and manage access arrangements to our storage facility and individual self-storage units.
2. Information we obtain from your use of our services. When you use our services, or interact with us either through our website, our mobile applications, WHATSAPP or by completing our surveys or when you write in to us, we may obtain your personal information.
a) If you contact us, we may keep a record of that correspondence (e.g. if a customer, in relation to the provision of our Services or if an employee, a copy of your CV for the duration of the recruitment period for a specific role);
b) We may also ask you to complete surveys that we use for research purposes or to improve our Services, although you do not have to respond to them;
c) Information relating to your creditworthiness or any criminal or fraudulent activities provided to us by you or third parties, for example when you apply for a service or job with us;
d) Details of transactions you carry out through our website, mobile applications or through other channels and for the provision of our Services; and
e) Details of your visits to the website and mobile applications and information collected through cookies and other tracking technologies including, but not limited to, your IP address and domain name, your browser type and operating system, traffic data, location data, web logs and other communication data, and the resources that you access.
Information we obtain from a third party: If you are an employee of one of our customers, your employer will provide us with your name and email address so that we can facilitate your building access, WiFi Access and so that we can create a MyWorkspace account for you.
